How to Prevent Double Bookings in a Lehenga Rental Shop
A practical process to stop two customers booking the same lehenga on overlapping wedding dates—using availability checks, peak usage vs stock, and blocked overbooks.
Scenario: A walk-in books a red bridal lehenga for 14 November. That evening, another staff member confirms the same piece on WhatsApp for 15 November—thinking “return is 14 night, so 15 is fine”—without seeing that return is scheduled for the 16th morning. Both customers believe they have the outfit. One of them will not.
The business problem
Lehenga rentals fail on calendars, not on hangers. The same SKU can be free on paper (“we have two of this style”) while both units are already out across overlapping weddings. Verbal confirms and Excel rows do not compute peak concurrent use.
Why shops struggle
- Counter and WhatsApp bookings are not the same list
- Staff think in “out / in” instead of date windows
- Cleaning time after return is ignored
- Nobody opens the conflicting bill before saying yes
Traditional approach
A diary column for “booked dates,” a photo in the WhatsApp group, and hope. During October–March that hope is expensive: emergency substitutions, refunds, and reputation damage in family WhatsApp circles.
Better process
- Identify the exact product (item code, colour, size)—not “the heavy red one.”
- Check availability for the requested from–to period (or by category + date when the customer is still choosing).
- Read overlapping bookings: bill, customer, period, quantity.
- Only then collect advance/deposit and create the order with dispatch and return date-times.
- If quantity exceeds what is free at peak overlap, refuse or offer another piece—do not “adjust later.”
