How to Check Product Availability for Rentals

Availability is the rental shop’s real product. Customers do not buy a lehenga—they buy that lehenga on those dates. Checking availability is the difference between a booking and a future apology.

The business problem

Verbal “yes” while standing at the rack ignores overlapping bookings and washing turnaround. One double-booked designer piece can cost more than a month of software.

Why shops struggle

• Diary shows who booked, not peak concurrent quantity vs stock
• Phone inquiries answered without opening any system
• Return date assumed as morning-available the same day
• Category browsing (“any peach gown”) has no structured path

Traditional approach

Call the warehouse. Flip registers. Ask the owner. Slow—and still wrong under peak load.

Better availability process

1. For a known piece: Availability Check by product + date window; review overlapping bookings.
2. For open shopping: Availability Check by Date + category; refine by type, color, size, stock.
3. Include realistic buffers after return for washing before promising next dispatch.
4. Prefill or create order from the availability context so the hold becomes a booking.
5. If save blocks with Product Not Available, do not override via side channel.
