Stock Management Best Practices for Rentals
Practical stock habits: quantities, active flags, washing readiness, and when outright sales change rentable stock.
Stock quantity in rental is a ceiling—how many physical units exist—not a promise that all of them are free this Saturday. Best practices keep the ceiling honest while availability handles the calendar.
The business problem
Wrong stock qty causes false availability confidence (qty 2 but both damaged) or false scarcity (qty 0 because nobody updated after a repair returned).
Why shops struggle
- Treating stock qty as “available today”
- Forgetting to deactivate retired couture
- Selling a sample outright without reducing rentable stock
- Ignoring washing state when planning Sunday rebookings
Better stock practices
Practice 1 — Qty is physical truth
Update stock when units are added, sold, or permanently removed—not when they go out on a normal rental.
Practice 2 — Active flag for sellable/rentable catalog
Deactivate pieces under long repair instead of leaving ghost SKUs in search.
Practice 3 — Sales path when you sell
Use Sales for outright sell-through so rental stock awareness stays coherent.
Practice 4 — Washing is readiness, not qty
In washing / Washed & ready tell prep state; do not fake qty changes for laundry.
Practice 5 — Permissions on catalog
Limit who can edit rent, deposit, and stock fields after onboarding.
Tradock-supported stock habits
Tradock products store stock qty alongside rent and deposit defaults. Availability uses stock vs overlapping bookings. Sales flows are separate from rentals. Activate/deactivate and soft-delete manage catalog hygiene. Washing board covers readiness between hires. That combo is stock management for hire shops—not a warehouse WMS.
