Inventory Management
Rental Inventory Management Guide
Date-based rental inventory: catalog, availability, related bookings, washing, and stock quantity—not just a static stock count.
A customer calls: “Is the wine sequin lehenga free for 18th evening?” In retail thinking, you glance at the rack. In rental thinking, you check overlapping bookings, return time on the 17th, and whether washing will finish before dispatch. That is inventory management for hire businesses.
The business problem
Double-booked premium pieces destroy trust faster than a late tailor. Lost accessories and “ghost” stock (listed but missing) quietly shrink your catalogue. Wedding season amplifies every gap between what the diary says and what the rack holds.
Why shops struggle
- Excel lists sizes but not which bill currently holds the piece
- Washing piles look like available inventory to new staff
- Similar color variants get swapped at dispatch
- Stock quantity never updated after sales or retirements
Traditional approach
Hang tags, mental maps, and a senior who “just knows.” It works at 40 active pieces. At 400 SKUs across color and size, tribal knowledge becomes a single point of failure.
Better rental inventory process
- Build catalog masters: categories, types, colors, sizes.
- Create each rentable product with item code (SKU), rent, deposit, stock qty, and photos.
- Run Availability Check before every confirmation.
- Create bookings with dispatch and return dates so inventory is date-locked.
- Use Related orders on a product to see who holds it next.
- After return, send to washing; only treat Washed & ready as prep-complete for the next outing.
- Audit stock qty and active flags when pieces are sold outright or retired.
How Tradock supports rental inventory
Tradock products carry item code, category, type, colour, size, rent, deposit, stock qty, notes, and up to two photos. Availability Check (by product or by date + category) shows free vs overlapping bookings. Saving an overbooked order blocks with “Product Not Available.” Product detail shows Related orders. Washing board toggles In washing / Washed & ready. Catalog Excel import helps onboard existing shops. Offline-capable product lists keep the floor working when signal drops.

Frequently asked questions
Retail stock asks “how many units on the shelf.” Rental inventory asks “how many units are free on these dates,” including pieces out on hire, in washing, or already booked.
