Rental Business Accounting Guide
Accounting habits for rentals: order payments vs shop expenses, deposits as tracked liabilities, sales separate, reports your CA can use.
Rental accounting breaks when deposits, rent collections, retail sales, and dry-cleaning expenses share one unlabeled cash diary. Owners feel rich on Saturday and confused on Monday.
Separate the money streams
| Stream | Record in | Owner question |
|---|---|---|
| Rent & deposit movements | Order payments (collect/return) | What is due on this bill? |
| Retail sell-through | Sales + sales payments | What did we sell? |
| Shop costs / misc income | Income & Expense | What did the shop spend? |
Three streams; three records.
Deposits need special care
Deposits sit with you until return. Track collected vs returned vs held/partial hold on the order. Do not “net” them mentally into rent. Your CA will thank you for clean trails even if their ledger treatment is specialized.
Traditional struggle
One Excel for everything. Peak season columns multiply. Staff stop updating. Accounting becomes forensic archaeology.
Better monthly rhythm
- Daily: payments logged on orders/sales; expenses entered when paid.
- Weekly: Order Payments report (cash vs online); clear disputed deposits.
- Monthly: Sales report + Income & Expense report to CA with invoice PDF samples.
- Never: invent a second GST invoice series outside the system.
How Tradock helps accounting ops
Tradock Order Payments, Sales, and Income & Expense reports sit on top of the same orders, sales, deposits, and invoices your counter uses. That is accounting hygiene for rental shops—not a replacement for your CA or GST portal filing.
