How to Manage a Rental Business Efficiently
Run peak weekends with a morning Summary board, hard availability checks, clear statuses, and deposit settlement—not more WhatsApp groups.
Efficiency in a lehenga rental shop is not typing faster. It is knowing, by 9 a.m. on Saturday, every outfit going out, every piece waiting for alteration, every return due, and every disputed overdue—without calling three people and scrolling a family WhatsApp group.
The business problem
Peak weekends fail when work lives in heads and chats. One counter books from memory. The tailor gets a verbal “hem by Friday.” The delivery boy leaves without a challan. Monday’s deposit fight has no bill number. Busy shops do not lack effort; they lack a single day board.

Traditional approach
Diary for bookings, Excel for “stock,” cash book for money, sticky notes for alterations. It works for a quiet Tuesday. It collapses when two weddings, four staff, and one designer lehenga share the same weekend.
A better process: morning Summary first
- Open the day on Dispatch: every sub-order due out, with customer and bill.
- Open Alterations: anything flagged Alteration needed that must finish before ready_to_dispatch.
- Open Return: what should come back today.
- Open Disputed: late incomplete returns—decide chase or hold deposit before taking new bookings on those pieces.
- Refuse new confirmations without Availability Check (by product/date or by date+category).
- Move status honestly: pending → ready_to_dispatch → dispatched → completed.
- After return, send garments to washing; settle deposit return or partial hold; then complete.
