Payments, Deposits & Returns
How Security Deposits Reduce Rental Risk
Why high-value lehenga and sherwani rentals need deposits separate from rent—and how collection, return, and partial hold cut loss from damage and late returns.
A sherwani set costs more to replace than a weekend of rent. Without a deposit, late returns and stains become polite arguments you lose. With a deposit that is never recorded properly, you still lose—because you cannot prove what was held.
The business problem
Risk in wedding wear rental is front-loaded: the garment leaves your control. Insurance and goodwill help; operational deposit discipline is what you can actually run every Saturday.
Why shops struggle
- Deposit mixed into “total received” with rent
- Full refunds issued before inspection because the queue is long
- Partial deductions argued with no note on the order
- Invoice terms never shared before dispatch
Better process
- Set deposit defaults on categories and products.
- Show rent and deposit as separate totals on the booking.
- Collect deposit against the order (cash or online).
- Share the rental invoice so deposit terms are visible.
- On return: full deposit return, or partial hold for damage / late return with a payment note.
- Close only when rent is settled and deposit is returned—or intentionally left held.
Tradock-supported workflow
Orders store total deposit. Payments support collect and return; return payments can be flagged “This is a deposit return.” Payment summary shows deposit returned vs deposit held, including partial holds for damage or late return. Invoices list total deposit and garment terms. Payment phases include Deposit held when rent is done but deposit remains with the shop.
