Deposit vs Advance Payment Explained for Rentals
Clear definitions of security deposit vs rent advance—and how to record both without mixing them.
Definition
Side-by-side
| Aspect | Advance (rent) | Security deposit |
|---|---|---|
| Purpose | Pays hire charges | Protects inventory value |
| Typical fate | Stays with shop as revenue | Returned if return is clean |
| When held back | N/A (already earned) | Damage, late return, missing parts |
| On invoice | Part of rent / amount paid | Shown as deposit total |
Shop-floor examples
- Customer pays ₹5,000 advance on ₹12,000 rent → ₹7,000 rent still due; deposit still fully outstanding until collected
- Customer pays full rent + full deposit at booking → payment phase can move toward complete once returns settle
- Customer says “I already paid 20k” → staff must split that into rent vs deposit before arguing
Common misunderstandings
- Calling deposit an “advance” in WhatsApp chats
- Adjusting rent by silently keeping deposit without a hold note
- Assuming GST treatment equals operational labelling (ask your CA; keep operational separation anyway)
How Tradock keeps them separate
Orders carry rent and deposit as separate totals. Collect payments reduce what is due; deposit returns are flagged explicitly. Invoice lines and terms show deposit as security—not as rent. That is the language customers should hear at the counter too.
